Situation: Asking Someone to Take Notes
Person A: “Let’s see. Alicia, take notes, okay?”
Person B: “How do you want me to do that?”
Person A: “Write down what we say.”
Person B: “I know that, but how?”
Person A: “However you like.”
Person B: “Whatever…...”
– Instead of “…take notes, okay?”, this could have more politely been expressed as, “Do you mind taking notes?” or “Is it alright if you take notes?”
– When asking someone to take notes, it is a good idea to set guidelines. For instance, should person wait until a discussion has ended or write down every word that is said? Do you want key words only or full sentences?Options to clarify include, “Please write a summary of key concepts discussed” or “If you don’t mind, please write down only decisions reached”.
– You may want to also meet with the note taker before the meeting begins to clarify any uncertain points. Remember, working closely with your note taker will make your life a lot easier, especially if the notes will be distributed at a later date.
Person A: “Let’s see. Alicia, do you mind taking notes today?”
Person B: “How do you want me to do that?”
Person A: “If you don’t mind, please write down only decisions reached.”
Person B: “Only final decisions?”
Person A: “Yes. In key words only, if possible. How does that sound?”
Person B: “Whatever you wish.”
